Privacy Policy

We process account details you provide, such as your name, work email, workspace information, and authentication data. We also process customer and lead information that authorized workspace members add to SpeakAI, together with operational logs needed to keep the service secure and reliable.

When you connect a third-party service, we process only the information needed to provide the integration you enabled.

If a workspace owner or administrator connects Gmail, SpeakAI requests permission to read Gmail messages and message metadata and to send Gmail messages. SpeakAI uses that access only to provide user-facing Gmail features in the connected workspace:

• sync received messages into the SpeakAI inbox;
• match senders and conversations to existing lead records;
• preserve Gmail thread context and identify replies;
• generate reply intelligence and editable reply drafts; and
• send messages or replies when an authorized user or an enabled, workspace-controlled automation instructs SpeakAI to do so.

SpeakAI does not use Google user data for advertising, does not sell Google user data, and does not use Gmail or other Google user data to train, develop, or improve generalized artificial intelligence or machine-learning models. Gmail content is processed only to provide the user-facing features requested in the connected workspace.

SpeakAI does not transfer Google user data except to service providers acting on our behalf when strictly necessary to provide or secure those user-facing features, to comply with applicable law, or as part of a corporate transaction with appropriate safeguards. We do not permit humans to read Gmail content except with the user’s affirmative agreement, for security purposes, to comply with law, or when necessary to provide support requested by the user.

SpeakAI’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

• provide, maintain, secure, and improve SpeakAI;
• authenticate users and enforce workspace access controls;
• operate integrations and automations configured by authorized users;
• communicate about the service and respond to support requests; and
• comply with applicable law and prevent fraud or abuse.

We use technical and organizational safeguards designed to protect personal information, including access controls, tenant isolation, encryption in transit, and server-side storage for integration credentials. We retain information only for as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce agreements.

You can disconnect Gmail from SpeakAI at any time from the Integrations page. You can also revoke SpeakAI’s access through your Google Account security settings. Revocation stops future access; previously synchronized information remains subject to your workspace retention settings until deleted.

To request access, correction, export, or deletion of personal information, contact hello@speakai.ai. We may need to verify your identity and workspace authority before completing a request.

We may use vetted service providers to host infrastructure, deliver email, process payments, monitor reliability, and provide features you enable. They may process information only under our instructions and contractual safeguards. Information may be processed in countries other than your own.

SpeakAI is a business service and is not directed to children under 13. We do not knowingly collect personal information from children.
