WORKING WITH AI
AI tools vs an AI team: how to decide what to hand over first
Buying another AI tool rarely fixes the work that keeps slipping. A practical way to choose the first job to hand to AI, and why starting with the problem beats starting with the technology.

Everyone is being told to use AI. The result for many businesses is a growing list of subscriptions: a writing tool, a meeting notetaker, a chatbot on the website, an add-on inside the CRM. Each one does something clever. Yet the same work keeps slipping through the cracks.
Why more tools do not always help
A tool waits for someone to use it. It does not notice that a lead has not heard back in three days or that the phone rang during lunch. Someone still has to remember, open the tool, give it context and act on the result. For a busy team, that is the step that breaks.
The difference with an AI teammate is ownership. Instead of a tool you pick up, it is responsible for a defined piece of work, knows your business information, follows your rules and tells you when it needs you.
Start with the work, not the technology
The best first job to hand to AI is not the most impressive one. It is the one that is frequent, follows a clear pattern and currently depends on someone remembering. Ask your team three questions:
- What work do we know matters but often happens late or not at all?
- Which of it follows a pattern we could explain to a new hire in an afternoon?
- Where would a mistake be easy to spot and correct?
The overlap is your first job. For many businesses it is following up new inquiries, answering calls that would otherwise be missed, or responding to common customer questions.
Measure what changes
Before you start, note how things work today. How long do new inquiries wait for a first reply? How many calls go unanswered in a typical week? How often does your team answer the same question? After a few weeks you will be able to see whether the work is actually getting done, rather than relying on a feeling.
How SpeakAI approaches it
SpeakAI starts with a conversation about your business and where work gets stuck. From that, it recommends the teammates that make sense, such as Giorgia for sales follow-up, Maya for calls or Alex for customer questions, so you do not have to work out which AI model, workflow or tool to buy. You can start with one teammate and add more when the first one has earned its place.
