GETTING STARTED
A 20-minute weekly routine for managing your AI team
AI teammates work best with a little regular attention. A simple weekly routine to review what your AI team handled, fix gaps in its knowledge and decide what to hand over next.

Once an AI teammate is up and running, it is tempting to forget about it. That is partly the point. But the businesses that get the most from AI treat it the way they would a new team member: a short, regular check-in that keeps quality high and shows where to go next.
Here is a routine that fits into about 20 minutes a week.
1. Clear anything waiting on you (5 minutes)
Start with the items your AI team has flagged for a person: escalated conversations, drafts waiting for approval, opportunities marked as ready. These are the moments where your judgment matters most, so deal with them first.
2. Read a few conversations (5 minutes)
Pick a handful of conversations your AI teammates handled on their own and read them as if you were the customer. Was the answer correct? Was the tone right for your business? Did the conversation end with a clear next step? You do not need to read everything. A small sample each week is enough to spot patterns.
3. Fix gaps in business information (5 minutes)
Most problems trace back to missing or outdated information. If a question came up that the AI could not answer, or answered vaguely, write a clear answer and publish it. If a price, policy or offer changed during the week, update it now rather than waiting for the monthly review.
4. Adjust the boundaries (3 minutes)
Look at what was escalated. If the same kind of routine question keeps reaching your team, and the answer is always the same, it may be ready to move into what the AI can handle. If something was handled that you would rather see yourself, move it the other way. Boundaries should evolve as trust builds.
5. Note what to hand over next (2 minutes)
Finish by asking what work still slipped this week. A slow reply, a missed call, a question answered three times. Keep a short list. When the same item appears a few weeks in a row, it is a good candidate for your next AI teammate or a wider role for an existing one.
Make it a habit
Put the review in the calendar at the same time each week and keep it short. In SpeakAI, items that need you are gathered in one place, and Business Knowledge changes are a few clicks away, so the routine stays quick. Twenty minutes a week is a small price for work that keeps moving the rest of the time.
