Where AI should stop: setting boundaries and human handoffs
Handing work to AI does not mean handing over control. How to decide what an AI teammate can handle alone, what it should escalate and how a good handoff works.

The question most business owners ask about AI is not whether it can do the work. It is what happens when it should not. That is the right question. Clear boundaries are what make it safe to hand routine work to AI in the first place.
Decide what is routine
Routine work has a predictable shape. The same kinds of questions, the same kinds of follow-up, answers that can be written down in advance. This is where AI is most useful, because consistency matters more than creativity.
Non-routine work involves money, exceptions, emotions or risk. A customer asking for a discount, someone upset about a delay, a question about a contract, anything where a wrong answer is expensive. These should reach a person quickly, with enough context that they can act without starting from scratch.
Write the boundaries down
Boundaries only work if they are explicit. A simple way to set them is to sort your common situations into two columns:
- Can handle: routine follow-up, supported questions with approved answers, collecting details and capturing booking or change requests for your team.
- Ask my team: pricing decisions, sensitive requests, complaints, anything uncertain, and anything not covered by approved information.
When in doubt, a situation belongs in the second column. It is easy to widen what AI handles once you trust it. It is much harder to win back a customer after a bad answer.
What a good handoff looks like
An escalation is only useful if the person receiving it can act straight away. A good handoff includes who the customer is, what they asked, what has already been said and why it was escalated. It should arrive somewhere your team actually looks, not in a separate tool nobody checks.
The customer should also know what is happening. A short, honest message saying a member of the team will follow up, and roughly when, is far better than a vague answer or silence.
How this works in SpeakAI
When you set up your AI team in SpeakAI, you choose what each teammate can handle and what should go to your team. Uncertain answers are escalated rather than guessed. Messages the AI drafts for review stay as drafts until someone approves them, and approving a draft never sends or enrolls anyone by itself. When a person takes over a conversation, the AI steps back until it is handed back.
Good boundaries are not a limitation on AI. They are what let your team rely on it.
